Commissions / Rebates

The “Commission Date” field on the Edit Commission and Rebate form, and the “Pay Based On” field in Accounting > Options define the point in the sales process at which Commissions are paid and whether the Commission is based on the billing amount or payment amount of Sales Orders. Having the commission date on individual Commission and Rebate rules allows companies to set different dates when determining when Commissions will be paid. For example, one sales person may receive Commissions when sales orders are shipped and another may receive Commissions when sales orders are invoiced.

The Commissions / Rebates transaction compiles the results of the Commission and Rebate calculations and presents them in a report based on the selections in the pre-filter. Users may be restricted to a specific Sales Rep or Sales Group within the system. When running Commission or Rebate reports, users restricted to a Sales Rep will only be able to see reports for that Sales Rep. Those restricted to a Sales Group will only be able to see reports for the Sales Reps in that Sales Group.

Deacom can accrue Commissions during invoicing, to product-specific Commission expense accounts and a general accrual account. In this way, Commissions may be accrued based on specific product sales. Commissions have their own category of User Defined Fields. These UDFs are also available for Commission reporting purposes.

Field/Flag

Description

Report Type

Pick list used to choose which kind of report to generate. Users with permission can create unlimited user versions of any Commissions and Rebate report and also determine which reports each user will see in this field. Options are:

  • Line Level Detail - Displays rep, order, and commission/rebate information as one row for each line per order.
  • Order Level Detail - Displays rep, order, and commission/rebate information as one row per order.
  • Accrual Summary - Displays sales orders that have been invoiced but not paid, after their original invoice amounts have been evaluated and factored through the commission rules. This report and the one below are used to reconcile the balance of the commission accrual account.
  • Accrual Detail - Displays sales orders that have been invoiced but not paid, after their original invoice amounts have been evaluated and factored through the commission rules.

Start Date

Indicates which Sales Orders will be taken into consideration for the calculation of Commissions or Rebates, based on the Ordered Date.

End Date

Indicates which Sales Orders will be taken into consideration for the calculation of Commissions or Rebates, based on the Ordered Date.

Type

Pick list used to define the type of information that will be calculated and presented. Options are:

  • Bill-to Company - Displays Rebate information.
  • Broker - Displays Commission information.
  • Facility - Displays Commission information.
  • Sales Rep - Displays Commission information.
  • Ship-to Company - Displays Rebate information.

Commission Group

Option to select a Group for this Commission or Rebate rule. Commission and Rebate Groups provide users with the option to group similar Commission and Rebate rules into distinct groups for reporting and filtering purposes.

Broker

Only available when the "Type" is set to "Broker". Used to select a specific Broker.

Bill-to Company

Only available when the "Type" is set to "Bill-to Company". Used to select a specific Bill-to Company.

Ship-to Company

Only available when the "Type" is set to "Ship-to Company". Used to select a specific Ship-to Company.

Sales Rep

Only available when the "Type" is set to "Sales Rep". Used to select a specific Sales Rep.

Sales Group

Search field used to select a specific Sales Group.

Sales Assignment Category

Search field used to select a Sales Assignment Category.

Currency

Search field used to select the Currency in which all order amounts including Commissions and Rebates will be displayed.

Include Do Not Post Inventory Lines

If checked, Sales Order lines that have the "Do Not Post Inventory" flag (used in conjunction with credit memos) checked will be included when calculating Commissions and Rebates.

Include Ship and Hold

If checked, the calculated commission will appear with a sales order that has a Bill-To on Ship and Hold.

Separate Reports by Type

If checked, a separate report will be generated for each different value based on the selection in the "Type" field. A new grid will open in a tab showing one row per report. Example: If Sales Rep is chosen in the "Type" field, a separate report will be generated for each Sales Rep that is contained on the report.

Commissions report

Opened via the "View" button on the Commissions / Rebates form.

View Detail

Displays the Commission Detail form, which displays order, part, and commission information for the selected record.

  • Note that user fields such as Territories will be viewable on this form.

View Order

Displays the selected order in view mode.

Select All

Mark all records as selected so that they are included when clicking the "Create PO" button.

Select None

Mark all records as not selected so that they are not included when clicking the "Create PO" button.

Create PO

If clicked, creates a new Purchase Order used to pay out the selected records.

  • Beginning in 17.04.008, when a PO is generated from the commissions report for a vendor that requires a 1099 form, the system will now automatically set the '1099 required' flag and populate the '1099 Form Type' on the PO header, mirroring the manual PO creation process.
